Refund, Returns & Cancellation Policy

Refund Policy
We do not issue refunds unless the rented vehicle experiences a verifiable mechanical issue not caused by the renter. In such cases, a refund or rental credit may be granted at the discretion of Ace Operate Solutions after an internal review.
Returns Policy
Return Location & Timing: All vehicles must be returned to the original pick-up location at least 30 minutes before the scheduled return time.
Late Return Charges:
A $50.00 late fee will be applied for every hour the vehicle is late.
The maximum late charge is $500.00.
Vehicles are not considered returned until they are received and checked in by an Ace Operate Solutions team member.
Permitted Travel Areas
Rental vehicles may travel within North Carolina and South Carolina, please contact us prior to traveling outside these regions for special rates and
availability. Written authorization is necessary for extended travel.
Failure to Return on Due Date:
If a vehicle is not returned on its due date, the renter will be charged the daily rental rate for each additional day plus late charges.
Failure to Return Within 24 Hours of Due Date:
If a vehicle is not returned within 24 hours of the scheduled return time, it will be reported as stolen.
The vehicle will be remotely disabled and rendered inoperable.
Legal action may follow and additional charges will apply.
Deposit & Payment Policy
Major Credit Cards:
No deposit is required for renters using a valid major credit card.
Debit Cards:
Renters using a bank-issued debit card are required to:
Leave a mandatory deposit, and
Provide proof of full coverage insurance transferable to the rental vehicle, or
Purchase third-party protection coverage for the full duration of the rental.
Deposit Amounts:
Deposits typically include the full rental cost plus an additional $100 to $200, depending on:
Vehicle class
Renter’s history and risk profile
Out-of-State Licenses:
Renters with out-of-state driver’s licenses must leave a $150 deposit regardless of payment method.
Reservation Confirmation:
Reservations made without a major credit card or bank-issued debit card require phone confirmation with a representative of Ace Operate Solutions.
Cancellation Policy
Cancellations made at least 3 days before the scheduled booking date will not incur any penalty.
Cancellations made less than 3 days before the booking date will be charged one full day’s rental rate plus applicable taxes and fees.
No-shows or same-day cancellations may result in full or partial loss of payment at the company’s discretion.
Important Notes
All renters must comply with these policies to avoid delays, additional fees, or denial of service.
Ace Operate Solutions reserves the right to modify this policy at any time based on operational needs or customer history.
